How to Create Microsoft Teams Channel

Microsoft Teams Channel – Quick Reference Guide (QRG)

1. Create a New Channel

  1. Open Microsoft Teams → select Teams (left sidebar).

  2. Locate the Team where you want the channel.

  3. Click ••• (More options)Add channel.

  4. Enter:

    • Channel Name (follow naming conventions)

    • Description (purpose)

    • Privacy Level

      • Standard – visible to all team members

      • Private – only invited members

      • Shared – share outside the team

  5. Select “Automatically show channel” (optional).

  6. Click Add.


2. Manage Channel Settings

  1. Open the channel → click •••Manage channel.

  2. Update:

    • Channel name & description

    • Member permissions (who can post, delete, pin messages)

    • Moderation (assign moderators, control who can start posts)


3. Manage Files

  • Go to Files tab in the channel.

  • Follow standard folder and file naming conventions.

  • Files are stored in SharePoint—use version control.


4. Add Tools (Tabs)

  1. Click the + (Add a tab) button at the top.

  2. Choose tools like Planner, Excel, SharePoint, OneNote, etc.

  3. Configure and save.


5. Add/Remove Members (Private or Shared Channels Only)

  • Add: Manage channel → Add members → search name → Add

  • Remove: Manage channel → find member → Remove
